As a key member of our Department, you will support our Vice President, to create an exciting and authentic experience for our global customers. Your role requires you to be responsible for administrative support, travel, and coordinator which will empower your Executive to have a seamless calendar and work day. Your position will give you many opportunities to establish professional relationships with various key members to the Vans leadership teams. How You Will Make a Difference: You will be in charge of completing clerical duties to support a group of senior management staff, specifically the VP. Since you are responsible for organizing typical tasks for an Executive, it is crucial that you can multitask and be flexible. Some of these duties may include file management, Internet research, handling phone calls, assisting employees, travel arrangements, etc. Manage all scheduling, calendar management and coordination for the Vice. Based on this role, you will serve as the face of the department via phone and in person, which is why you must also be an excellent communicator and be a positive and collaborative person to work with. Assist with research and projectsincluding seeding, updating presentations and helping coordinate complex events. Assist with meeting coordination for small office meetings to larger off-site meetings in order to improve efficiency in the ways we handle our business. Manage expenses for supplies, food and travel for the team via corporate credit cards in order to keep our staff cheerful and enthusiastic while they are working! You will help manage overall budget for such expenses to ensure that spending was allocated fairly. Skills for Success: Years of Related Professional Experience: 3+ years Educational/ Position Requirements: • College-level education preferred for broad understanding of different principles and concepts as it relates to reporting and communication purposes Skills • Must possess strong working knowledge of MS Word, Excel, Power point as well as good internet and e-mail skills • Must be a highly positive, collaborative person who works well across complex teams, which means that you will be able to impact various different areas of our company • Must be an excellent communicator so that you can work with all levels of management • Should be innately curious, which leads to self-improvement in both our company and the individual • Ability to handle multiple projects/tasks is a must because our company is constantly on the move, so it is always demanding precision and excellence. • Must be detail oriented and display discretion with sensitive information because it is essential to maintain integrity in a professional environment. • Active Notary preferred • Must understand travel arrangement protocols Special Physical and/or Mental Requirements: • Willing and able to work additional or flexible hours when needed • Bend, lift, open and move product and related office items varying in weight from 1 to 25 lbs, depending on need
