Position Purpose

The role of the International Sales Operations Coordinator is to oversee our international distributor and retail accounts, through order file maintenance, customer service, shipment and documentation coordination all with the purpose of providing a high level of customer satisfaction and maximizing revenue. This position is based in-house, forms part of the Sales Operations group and relies on interaction with Sales Management and the sales force. Would suit someone with exposure to international trade, has some knowledge of Customs paperwork and in dealing with 3PL’s.

Duties include (but are not limited to):

•Run daily reports and manage order file maintenance to ensure orders are shipping in a timely manner within the designated ship windows, by processing and tracking sales orders for our international accounts
•Provide excellent communication and work closely with Distributors, Retailers and sales reps in reviewing and collaborating on pertinent requirements. This could be in the way of product availability (shortages, ATS, delays or withdrawn styles), pricing, shipping and orders status
•Create relevant documentation for shipping; Commercial Invoice / Pro-Forma / Packing list etc. as required
•Liaise with our 3PL partners / Distributors on shipment consolidation, order status and payment methods as needed
•Have an understanding of freight modes and incoterms, and deal with freight forwarders/couriers as required
•Provide weekly snapshot of shipping status. Provide any action items to sales force addressing any orders/accounts which are on confirmation hold or credit hold. Assist sales teams with Return Authorizations, order entry and Special Handling Requests as required
•Manage purchasing and distribution of sales tools; samples, catalogs, order forms and price lists etc.

Position Interaction

Within the company, contact will be made with several departments including distribution, production, accounting, planning and sales teams / management. Open lines of communication are critical to ensuring a smooth process flow and candidate must be able to interact well with others and provide solutions that are complimentary to all departments.
