The role of the Sales Operations Coordinator is to initiate and maintain the order file via interaction with the company ERP system, to maximize fulfillment rates and minimize fall out of potential shipping dollars, chargebacks and/or lost sales. Ensuring delivery windows are cross referenced with inbound inventory to optimize the output of the distribution center and uphold high customer service levels. This position suits someone with an analytical approach to their daily tasks. Functions must be performed efficiently and timely to provide the best flow through of product and orders in meeting date sensitive customer requirements.

Within the company, contact will be made with several departments including distribution, production, accounting, planning and sales teams / management. Open lines of communication are critical to ensuring a smooth process flow and candidate must be able to interact well with others and provide solutions that are complimentary to all departments.

Essential Job Functions

• To manage the order file with the goal of shipping orders on time and 100% complete.
• Run daily reports and order file maintenance to ensure orders are shipping in a timely manner within the designated ship windows.
• Communicate and work closely with Sales reps and management to review and discuss pending issues. This could be in the way of shortages, product delays or withdrawn styles.
• Constant review of order file with a forward-looking mentality to request extensions and/or substitutions where necessary.
• Provide weekly snapshot of action items to sales force addressing any orders/accounts which are on confirmation hold, credit hold or require extension requests.
• Assist the sales teams with Return Authorizations, Order entry and Special Handling Request as required.
• Understand and be cross-trained in other sales operations functions such as EDI Order processing, Allocation maintenance and Compliance.
• Interface with Sales, Planning, Production and Accounting teams to present and receive information pertinent to the success of the process flow.
