About the job

The Key Account Coordinator is responsible for steering compliance requirements for large retailers, as well as researching customer chargebacks and managing payment dispute cases to recover funds back. The coordinator communicates with internal departments and customers to resolve shipping and billing discrepancies. The ideal candidate will be able to identify and suggest operational improvements to minimize the risk of retailer compliance charges.

Duties and Responsibilities

• Ensure compliance with customer policies and procedures
• Identify, respond, and resolve all chargeback disputes
• Work across multiple vendor platforms to confirm invoice acceptance, and identify chargebacks and discrepancies
• Detailed tracking of all chargebacks, disputes, and reconciliations
• Build out a repository of supporting evidence (bill of lading, shipment piece counts/weights, photos, etc) to defend and overturn unwarranted chargebacks
• Monitor EDI integrations with major retailers for timely and compliant communication
• Monitor adherence to transportation requirements (routing, pickup appointments, delivery appointments, adherence to must-arrive-by dates)
• Analysis of disputes from both a current and historical perspective to understand the root cause for compliance charges
• Identify and report any rise in dispute trends by retailer
• Develop and implement solutions to minimize or prevent recurring mistakes
• Perform timely resolution of chargebacks and report progress to management regularly
• Provide feedback on policies, products, logistics that may be causing unnecessary chargebacks
• Perform administrative and clerical tasks such as organizing documents, following up on email correspondences, and data entry
• Additional customer service duties as necessary

• 2+ years experience in similar position
• High School Diploma or equivalent; College Degree a plus
• Experience working in large retailer vendor portals
• Strong computer skills; must be proficient in Excel and Word
• Proven problem-solving skills
• Ability to work independently and to prioritize and handle multiple tasks and projects concurrently
• EDI experience is a plus
• NetSuite experience a plus
