To be clear, we evaluate all candidates on their demonstrated commitment to these values.Overview of role:The Office Manager/Office Chief/Culture Champion/Company Concierge is the first and main point of contact for external clients and partners as well as for employees. The main responsibilities of this role are to plan, direct, and coordinate the administrative operations of one or more business services of the organization, such as day-to-day functions of the front office, information management, mail distribution, meeting and event planning, and maintenance of office support services. Because the Office Manager completes a diverse range of administrative tasks, this role requires an ability to interact with clients and staff at all levels in a fast-paced environment, often under pressure, while remaining flexible, resourceful, and efficient, and with a high-level of professionalism and confidentiality. Excellent written and verbal communication skills, strong decision-making ability, and acute attention to detail are critical in this role. Essential Duties/Responsibilities:Company management & leadership! Anticipate and stay on top of workplace environment and employee engagement issues and solutions, both internally and in industry trends. ! Monitor impact and effectiveness of existing programs and use data to modify programs as needed. ! Propose new ideas and initiatives aligned with company Mission, Vision, and Values. ! Demonstrate commitment to our Social Purpose and Values through continued support on several committees and working groups.! Coordinate and organize company/department meetings and special events.! Manage company event planning and coordination to ensure alignment with our brand. Represent our brand at the front door.! Administer Social Purpose initiatives such as Go Carless, Commuter Miles and Alternative Commuting Solution programs. ! Own company Wellness strategy and initiatives and maintain annual budget.! Serve as an active member of company’s Green Team, which supports and coordinates environmental/sustainability practices both internally and externally.Administration! Deliver exceptional level of administrative support including, but not limited to, receiving and directing phones calls, mail and correspondence support, and organizing/managing calendars, meetings, and events.! Oversee all daily office functions, coordinating cross-functionally to ensure cohesiveness and success.! Manage petty cash and administrative budget.! Assist the Executive Team with monthly expense reporting and reconciliation.HR and employee support! Provide on-going support to the HR Team; complete all responsibilities and requests in a timely and accurate manner.! Assist with the interviewing process and new hire processing, orientation, and onboarding. ! Field and triage questions or employee concerns.Facilities support! Help manage the Business Center: Organize, coordinate, and schedule events, and assure Business Center is consistently well stocked with food and beverage.! Co-lead safety committee: schedule meetings, prepare agendas, and organize trainings. Communicate safety risks to facilities Manager.! Manage the Food Pantry program, providing employees healthier snacking alternatives. ! Order, stock and manage punch cards. ! Ensure/remain mindful of sustainability in product packaging.! Be flexible and ready to assist the Facilities Manager when needed by helping with maintenance requests, supply sourcing, and temp staff hiring. Job Qualifications! 1-2 years human resources experience! Prior office management experience required! 2+ years general clerical/administrative experience, or relevant customer service experience! Previous experience in event coordination, planning, resourcing, and execution! Computer/Software proficiencies: MS Suite, Windows, Word, Outlook, PowerPoint! Ability to plan for and keep track of multiple projects and deadlines! Ability to work with minimal supervision! Professional presentation including excellent verbal and written communication skills! Exceptional leadership and time, task, and resource management skills! Familiarity with budget planning and enforcement, human resources, and customer service procedures! Must demonstrate punctuality and reliability! Passion for the outdoor industry (required) and for cycling (ideal)! PEARL iZUMi product knowledge preferred! Bachelor’s degree from accredited institution preferred!
