Job Title: Head of Benefits
Reports to: Head of Human Resources and Campus Services
Location: Ventura, CA

General Summary

The Head of Benefits manages and administers the Company benefit and savings plans and policies across North America, as well as provides leadership to the North American Payroll Team. They are responsible for benefit plan design, research of benefit additions, contract renewal and plays an active role in the Company’s Benefits and Investment committees. In addition, the Head of Benefits monitors benefit trends/innovation in the marketplace regarding extraordinary service, improving wellness, competitiveness, fairness, cost effectiveness and alignment with Patagonia’s Mission and Values.

Essential Job Functions
Manage Benefits and Payroll Teams for North America and provide leadership and mentorship to all team members. Develop staff by knowledge transfer and encouraging continuing education.
Ensure benefit offerings are in line with our values and business needs while monitoring costs.
Coordinate annual open enrollment process with all worksites, brokers, and plan sponsors – ensure employees understand benefits and options.
As benefits committee member, schedule meetings with brokers and carriers, lead insurance renewal process, research and make suggestions for plan changes, collaborate on self-funded and fully insured plan compliance with broker/ vendor/ ERISA attorney, compile data for NDT testing.
Research benefits and payroll practices outside of Patagonia Works to introduce improvements and innovation to internal processes, service and policies.
As changes in regulations and benefits occur, work with brokers, outside and in-house legal counsel to ensure that benefit plans are in compliance. Ensure that employees receive required notices governing each plan. Update systems and policies related to changes in regulations.
Strategic planning of benefits offerings. Monitor global employee benefits and compare benefits in all areas; ongoing review of current offerings vs. possible future improvements and cost concerns.
Monitor benefit plans for changes in policies that will affect employees; i.e., managed care requirements for certain medical conditions, and changes in provider networks for specific types of coverage.
As investment committee member, schedule committee meetings, review independent fund advisor committee meeting minutes, and suggest and research changes to 401k plan.
Responsible for the management of the Company’s 401K Plan, including, but not limited to: overseeing weekly 401k contribution, 401k participant enrollment information and education, 401k annual plan testing, and in coordination with the accounting department, participation in the 401k and IRS audit process and reviewing information to assist in Form 5500 preparation.
As 401k plan administrator, compile data for annual 401k testing and audits, work with record keeper and outside ERISA attorney to ensure plan compliance and update plan documents, review and direct recordkeeper on participant notice distribution, review and approve QDROs and hardship withdrawals.
Develop HR policies and procedures and update those currently in place. Update global employee handbooks as needed to keep pace with regulations and policy/benefit changes.
Oversee worker’s compensation injury claims and documentation; unemployment claim information requests and disability claim information requests.
Oversee tracking of leave of absence requests for compliance to company policy; help HR Services staff to create leave letters and assist employees in understanding the leave policies and benefits during their leave. Keep abreast of changes in leave regulations.
Acts as HIPAA Privacy Officer and trains employees with access to PHI on HIPAA guidelines.
Review of ACA 1095-C forms annually for accuracy before mailing. Ensure that benefits team is monitoring seasonal hours for compliance with ACA.
Special projects and other duties as required.

Must be able to travel domestically utilizing various transportation methods.
Minimum Job Requirements

Love of outdoors and wild places.
Bachelor Degree in applicable field or equivalent experience.
Demonstrated leadership experience with the ability to mentor others.
Strong working knowledge of insurance and benefits administration experience required.
A proven track record of developing and implementing benefit plan enhancements.
7+ years experience in a Human Resources function/role.
Strong computer skills (Workday, ADP, Report smith, Microsoft Word, Microsoft Excel, Outlook) as well as knowledge of innovative benefits platforms
Extreme attention to detail and organization skills.
Ability to handle sensitive and confidential information with unimpeachable privacy.
Excellent customer service skills, in person, on the phone and in writing.
Comfortable with team-based work structure; ability to demonstrate flexibility on the job.
Demonstrates initiative, is conscientious and provides complete follow-through on areas of responsibility.
