About the job

The Office and Culture Coordinator is responsible for the management of all office services, planning, communication, and events. This role will be critical in ensuring the office runs efficiently and employee morale is at its highest. We’re looking for an organized and motivated self-starter who will play a key role in helping to shape the office culture and executing on CEO and Leadership team needs and company-wide events. The position requires strong time management, organizational, and communication skills. The idea candidate will always meet critical timelines, use resources efficiently, and communicate decisions effectively within the organization.

Responsibilities:
- Manage all office services and maintain respective contracts
- Ensure necessary office supplies are available as needed
- Manage office budget for services and events
- Manage office and company communication
- Maintain companywide calendar
- Schedule monthly all company meetings
- Coordinate critical leadership team planning, communication, and meeting needs
- Manage CEO schedule, planning, appointment, and travel requirements
- Organize and schedule bi-annual Adventure Days
- Coordinate office events including lunches, parties, professional development opportunities, etc
- Event coordination for bi-annual Go To Market sales meetings
- Coordinate community give back events and maintain annual calendar
- Coordination of local charitable donations in conjunction with the brand team

With the assistance of external HR expert consultant:
- Explore new HR software solution
- Ensure employees are properly documenting time out of the office
- File and disseminate all employee benefit information
- File information on benefits programs for individuals as needed
- Set up informational meetings for employee benefits as needed and assist with individual questions
- Maintain electronic employee files (job description performance appraisal, incident reports, emergency contact info, etc)
- Evaluate and update employee policies annually
- Publish updated employee handbook annually and get signed copies on file for each employee
- Manage all employee transitions (new employee introduction and exiting employee procedures) and all associated documentation (including offer letters, severance agreements, COBRA, etc.)
- Lead employee recruiting efforts (job postings, recruiting correspondence, etc.)
- Coordinate new employee needs (benefits, hardware, etc.) and new hire onboarding/training program
