Job Summary

TOMS is looking for a Wholesale Account Coordinator who can provide prompt, courteous support to our Wholesale Accounts and Internal Partners byanswering requests regarding products, shipments, and deliveries. Our new representative will address all customer inquiries with the highest degree of professionalism, integrity, and product knowledge while keeping our Giving Movement and Core Values in mind. This position is an extremely customer-focused role and requires a positive, mature individual who inspires confidence in our products, people, and processes. We're looking for a team player who prioritizes building relationships - both at TOMS and with our customers.

Essential Responsibilities

⏵ Provide excellent customer service, including:
⏵ Timely and accurate responses to customer email inquiries

⏵ Immediate and accurate responses to Eyewear requests, either through phone or email

⏵ Offering account substitutions for backorders or cancellations

⏵ Partnering with Sales and Accounts Receivable teams on Credit Holds and Order Hold issues to mitigate lost sales

⏵ Acquire proper documents and approvals prior to issuing returns and credits

⏵ Provide backup Customer Service support for our Retail organization as needed

⏵ Support TOMS gifting activities


⏵ Parter with Representatives to:
⏵ Order edits as necessary

⏵ Maintain a healthy and clean order book and contracts by reviewing and communicating exceptions

⏵ Make any necessary changes to existing orders due to availability, delays, or other issues that may arise

⏵ Troubleshoot and research orders and shipping complications for expedient resolution

⏵ Educate on distribution capabilities and constraints as needed

⏵ Create RA's, Credits, and Debits


⏵ Assist with Sales Order Entries, entering sales orders and contracts during pre-book season

⏵ Support Pre-Sale activities including bi-annual sales meetings, New Customer onboarding, Global Sample Entry and Distribution, as well as Showroom support

⏵ Act as a liaison to Supply Chain:
⏵ Communicate any late outbound shipments with account representatives and/or customers

⏵ Answer customer inquiries to clarify any QC issues or delays

⏵ Collaborate with our 3PL and Logistics & Planning teams

⏵ Assist with distribution activity, capacity constraints, launches and capabilities with TOMS DC Management


⏵ Support Vendor Compliance:
⏵ Review and maintain routing and compliance guidance

⏵ Collect and track chargeback data for Retail Compliance Specialists

⏵ Chargeback reporting and contesting as necessary


Requirements and Qualifications

⏵ Strong Customer Service experience, ideally in a wholesale environment

⏵ Specific interest in joining a Mission-Driven organization

⏵ Strong verbal and written communication skills and interpersonal skillswith superior follow-through

⏵ Solid comprehension, listening and negotiating skills

⏵ Ability to maintain high energy and a sense of urgency

⏵ Excellent attendance history and a positive attitude

⏵ Excellent intuitive, analytical, and problem-solving skills

⏵ Ability to prioritize and multi-task

⏵ Careful attention to detail and accuracy

⏵ Ability to work independently

Education and Experience

⏵ 3+ years of professional experience in the Retail industry, with strong working knowledge of Supply Chain

⏵ High school degree or equivalent required; Associates Degree in Business, Communications, or related field preferred

⏵ 2-5 years' experience in Customer Service required

⏵ Proficient experience with Microsoft Office products

⏵ SAP experience preferred; Excel preferred

⏵ Fundamental knowledge of Accounts Receivable preferred
