NoWill there be Visa support? NoCan this job be hired remote? NoIf you were the Program Coordinator now, here are some of the core activities you would be doing:! Coordinating and managing the Business Super Users network, assisting in business readiness preparations and administration of Super User activities including general communications, action item tracking, testing, training, end user job aids and standard operating procedures development! Preparing the program business readiness dashboard through communicating with business leaders across the company, including clarifying and tracking action items, risks and mitigations! Coordinating scope, resources (expertise, time, money, equipment, etc.) and project timelines in order to identify and sequence the activities needed to successfully achieve outcomes against program goals! Assisting in the preparation of the program resource tracking and coordinating internal and external communications through gathering, analyzing and summarizing data and information related to resource reporting, budget status, and forecast reports! Monitoring the progress of projects and making adjustments as necessary to ensure successful completion; consolidating and reporting project status on a regular basis! Coordinating, tracking, tracing and analyzing related issues/actions/activities from the risk log and communicating any issues! Assisting with presentation templates and slides for management reports and/or other supporting documentation as required! Conducting general follow ups and communications with team members on behalf of the Director, Business Process! Administration of program invoices and charges to ensure that program expenses are strictly monitored and that monthly expenses are on target! Coordinating 3rd party team timesheets and invoice submissions, reviewing program budget and expense reports! Assisting with calendar bookings, email, room scheduling, travel arrangements, event planning, and other coordination activities! Documenting and maintaining meeting minutes, book meetings as needed! Updating and maintaining project related tools and documentation! Supporting with the onboarding of new Program or Project consultants or employees and consolidating, preparing and delivering an onboarding package for new project membersHere are some of the things you could be working on in the future:! Contributing to Project or Program coordination activities to deliver the go-live, technical project tools setup for team members, and facilitating cross-functional communications! Ensuring accountability and managing specific items in the Program risk log, including risks, actions, issues and decisions! Delivering accurate and detailed project plan and communications, building timelines and presentation materials for senior leaders! Organizing small and large team events and workshops that aim to increase communications and collaboration with the global program resourcesAre you our next Program Coordinator? ! You have a bachelor’s Degree or higher in Business, Technology or related field! You have 3+ years of project coordination support experience! You have experience with learning and understanding new business processes, needs, objectives or requirements! You demonstrate a proficient level of business acumen! You have software application proficiency with Microsoft Office Suite and basic networking and database concepts! You have previous experience running reports and have experience with invoice coding and charging for processing of invoices! You have excellent interpersonal and time management skills, with the ability to work with all levels of stakeholders! You have a proven ability to multi-task over multiple projects and deliver in a fast-paced environment! You have willingness and are able to work on a flexible and varied work schedule ! You are able to communicate complex quantitative ideas to internal and external clients at all levels of seniority with great facilitation abilities! You are able to tackle a variety of incoming tasks ranging in timelines from short-term (a few hours) to long-term (several weeks/months)!
