Position Summary:
This temporary position as an executive assistant will provide support to the VP of NPD & Regulatory with various administrative and organizational needs for the department such as samples, scheduling meetings, manage payments, time off requests, expense reports. The role will act as a gatekeeper and manage introduction with external vendors or business partners. The executive assistant will help organize departmental needs for training, travels or meetings and also help any new collaborations with other department leaders within the company.
The role will assist the Department leaders to maintain and organize the NPD SharePoint site.
Essential Job Functions:
Coordinate beverage sample request for domestic and international shipping to support both product registration and Innovation commercialization:
MEC office shipment of commercial product and raw material samples.
Manage document support for on going export business
Manage Free sale certificates program with the State of California
Manage FDA prior notice application for international product shipments
Miscellaneous administrative department support
Coordinate all sampling sessions with executive leadership and flavor-houses
Manage VP NPD’s calendar and meeting requests.
Administrate all bill payments on behalf of the department
Administrate expense reports for department leaders
Manage access and structure of NPD’s Share point
Take initiative on requests and inquiries of an administrative nature.
Handle sensitive matters with a high level of confidentiality and discretion.
Position Requirements:
3-5 years’ experience of working in administration or office management a must.
Highly organized, mature, meticulous with a great attention to detail.
Ability to work independently.
Strong organization skills.
Having sense of urgency, ability to multitask, and being able to interact with team members.
Able to see what is relevant, prioritize and ask the right questions.
Spanish is a plus.
Microsoft Office tools such as Outlook, Team, Excel, Power Point, SharePoint and Word are required.
Excellent verbal and written communication skills with special attention to spelling and grammar.
