About the job

This position will provide high-level administrative executive support to the Vice President of Global Marketing. Working closely with Canada, LATAM, APAC and Oceania marketing Teams, this position is responsible for using discretion, confidentiality, a good understanding of the business and vocabulary, and a detailed knowledge of the operations, procedures and people to support the Global Marketing Team.

Essential Job Functions:
• Represent the Global Marketing both internally and externally and interface with staff at all levels with the highest level of professionalism and in a manner that reflects positively on the organization.
• Handle sensitive matters with a high level of confidentiality and discretion, especially decisions directly affecting the operations of the Company and the credibility of the department.
• Liaison IT helpdesk supports to ensure that regional team get timely support by corporate IT helpdesk.
• Understanding and management of Apttus contract process, supports to ensure that regional teams get timely support.
• Respond to requests by gathering and providing information and/or referring to the appropriate staff.
• Compose, modify and proofread correspondence, reports or presentations. Design general correspondence, invitation letters, memos, meeting minutes, spreadsheets and presentations.
• Maintain calendar daily for optimum organization and time management.
• Perform other related administrative needs such as, arranging complex domestic and international travel, visas and accommodations, preparing, processing and reviewing expense reports, meeting scheduling, logistical planning, preparing and circulating documents, capturing and chasing action items.
• Assist in coordinating meetings and related administrative needs such as meeting scheduling and logistical planning.
• Controls POS inventory levels by conducting physical counts, reconciling against electronic records and preserving inventory by keeping area locked and organized at all times.
• Take initiative on requests and inquiries of an administrative nature.
• Prepare Word, Excel, PowerPoint and Visio presentations, agendas, organizational charts, flow charts, reports and other documents in support of departmental operations and objectives.
• Prepare and process invoices.
• Prepare and review expense reports within the Concur system.
• Perform other duties as assigned.


Position Requirements:
The position requires a combination of skills, attributes, and experience including but not limited to:
• Minimum of 7 years of experience working in an executive assistant role supporting senior/C-Level executives, with experience in a legal environment a plus.

• Self-starter who has an appetite for learning and is driven to excel and grow and willing to step outside of the job description to do so.

• Ability to travel with occasional overnight travel as may be required.
