General Summary

Looking to break into Action Sports and learn the business? Interested in the apparel sector and possess strong administration and organizational skills? La Jolla Group is seeking an Executive Administrator. The individual will report directly to the COO and CFO, partnering with them on all aspects of managing the business. This role includes crucial elements to support an executive team including project management and administration. This position will provide strategic administrative support and work cross functionally with all teams. The ideal candidate must have strong organizational skills, analytical rigor, and function efficiently/ effectively in a fast-paced environment.

Essential Job Functions

•Collect, analyze, and present key data to senior management highlighting meaningful and actionable insights
•Independently prepare correspondence, reports, or complex presentations
•Follow up on commitments and deadlines to or from the executive team
•Review and summarize information submitted from others to executive team
•Provide proactive calendar management on an ongoing basis for the executive team with a high level of utilization while prioritizing the most urgent matters
•Coordinate effective meetings though comprehensive administration of agendas and deliverables
•Complete and process expense reports and receipt approvals
•Track, monitor, and review key projects with cross functional teams ensuring clear communication and expectations while keeping the executive team up to date on progress
•Plan and execute travel, conferences, and business meetings when required
•Handle employee / customer / vendor requests and concerns with tact and diplomacy
•Manage corporate documents as needed to ensure timely execution and record keeping
•Record meeting minutes and prepare detailed recaps with action items
•Operate at a high level of maturity treating sensitive or confidential materials with integrity
Required Knowledge, Skills, and Abilities

•Desire to learn the apparel/action sports business
•Ability to multi-task in a fast-paced environment, prioritizing responsibilities
•A quantitative mindset and analytics experience
•Strong organizational skills
•Ability to analyze data sets and identify key insights
•Experience with business intelligence and project management software
•Strong Microsoft suite skills including Excel and Power Point
•Strong verbal and written communication skills
•Ability to build and maintain cross functional partnerships
