Position Summary:
Responsible for administrative and operational activities in support of the SVP Product, SVP Digital and Global VP Engineering.
Responsibilities:
Support staff in the organization and processing of project requirements and deliverables with approximately 60% of time spend supporting SVP Product.
Maintain and update master line planning schedule, coordinating with stakeholders, as needed
Prepare meeting materials and assist with the development of PowerPoint presentations
Assist in researching information and project data
Organize all travel needs for SVP Product
Support meeting and special events including prep of schedules, agendas, meeting minutes and action items, as needed
Assist SVP Product with inputs and files required for brief preparation.
Assist SVP Product in updating WorkFront Files, as needed.
Provide product strategy assistance to GVP Product in requesting materials from finance and planning and processing data for strategy.
Organize Steering Committee meetings.
PDSC preparation
Collect materials from product teams
Keep project calendar for product teams and update to accuracy
Send out meeting invites
Ensure conference room is prepared prior to meeting
Attend and take notes during meeting
Provide assistance to executives in the successful performance of daily tasks, meeting arrangements and administrative duties as needed while maintaining a thorough knowledge of relevant policies and procedures of the company and corporation.
Serve as on-site liaison and point of contact for clients, consultants, and affiliate organizations. Answer questions and resolve or refer concerns by communicating proactively and demonstrating commitment to high quality service.
Miscellaneous administrative duties including opening and screening mail, copying/distributing materials, memos, etc. as requested, ordering supplies, paying invoices, filing, etc.
Coordinate domestic and international travel as needed
Assist with expense reporting as needed.
Create process maps for GVP Engineering.
Provide project support for Project Management team.
Support SVP Digital by scheduling and attending meetings and monthly team meetings.
Create and maintain reports and spreadsheets for SVP Digital.
Maintain confidentiality and discretion in the handling of all business matters.
Follow internal controls and company policies as set by Dorel Industries, Dorel Sports and CSG and job function.
Contributes to the success of the Company by leading or assisting with other projects and tasks as assigned.
Essential Qualifications:
4+ years of relevant experience.
Ability to effectively communicate both orally and in writing.
Possess multitasking abilities.
Possess the ability to interact with staff at all levels of work with a proactive approach of professionalism, using discretion and diplomacy.
Ability to maintain confidentiality.
Competent in the use of Microsoft Office applications (Outlook, Word, Excel, and PowerPoint).
Must be able to carry out assignments with minimal supervision.
Knowledge of computers required including strong knowledge of Excel, Word, Outlook and & PowerPoint.
Strong organizational, verbal, and written communication skills.
Beneficial Qualifications:
Experience in a similar role supporting multiple people.
Experience with travel coordination and working across multiple time zones.
Physical Demands:
Working conditions are normal for an office environment.
Must be able to sit for extended periods of time.
Must be able to use a computer keyboard and view a monitor for extended periods of time.
Must be able to travel domestically and internationally for business.
