We're looking for an experienced, reliable and task-oriented Administrative Assistant. The Administrative Assistant will work directly with the Senior Administrative Assistant and the VP’s of Merchandising. You will perform all administrative tasks to support two VP’s. You are professional, self-motivated and able to work in a fast-paced corporate environment. Responsibilities include scheduling meetings, making travel arrangements, calendar management, communicating with the organization on behalf of the VP’s and keeping the VP organized and prepared. You are a motivated problem-solver who is proactive, great at meeting deadlines and someone who communicates effectively.

⏵ Be the right-hand person for Global Merchandising VP’s
⏵ Help VP’s manage time, activities and team
⏵ Communicate on behalf of the VP’s
⏵ Avoid conflict in calendar, meetings, and travel
⏵ Arrange travel, create itineraries and agendas, book accommodations and transportation to and from meetings, as appropriate. Evaluate any potential issues and develop a contingency plan as needed
⏵ Prepare expense reports promptly and accurately
⏵ Schedule and coordinate meetings including arrangements for facilities, logistics, and other accommodations; communicate arrangements to executive and other participants, as appropriate
⏵ Complete project and special assignments that are may be confidential and time-sensitive
⏵ Transfer, compile, and touch-up PowerPoint presentations
⏵ Manage team activities, reservations, and events
⏵ Act as a liaison to other corporate groups and leadership team
⏵ Support development of budgets; track & report back to leaders monthly on status versus plan
⏵ (Bachelor's degree (5+ years of combined college education and work experience may be substituted for a degree)
⏵ Minimum 5+ years’ experience providing executive-level administrative support
⏵ Expert knowledge and proficiency with MS Office applications including Word, Excel, PowerPoint, and Outlook
⏵ The VP’s manage the global business and travel internationally often. Assistance during odd hours and weekends will be needed
⏵ Broad and comprehensive experience, skill and knowledge of business operations and practices
⏵ Demonstrated ability to manage multiple priorities and shifting demands while being detail-oriented
