We are looking for a sharp and detail-oriented Administrative Assistant  to join our Corporate Affairs Team and provide administrative support to three leaders. We need an expert multi-tasker who thrives in a high-stakes, fast-paced environment. From event support to meeting coordination and project management, no task is too big or too small for this unflappable assistant who can handle changing priorities with ease. She/he understands that success is in the details and is energized by the idea of being a beacon of order and precision for a high-performing team.

Corporate Affairs Function
! Serve as the administrative assistant to three members of our Corporate Affairs leadership team ! Manage schedules/calendar
! Coordinate travel plans
! Manage expense reporting
! Coordinating team offsites and events

! Act as a liaison to other corporate groups on administrative issues
! Provide back-up support for Chief Communications Officer
! Partner with the finance lead and Corporate Affairs leadership team on operational items such as:! Managing annual subscriptions
! Managing budgets, tracking expenditures and generating reports;
! Managing team contractors, including setting up new contractors and managing when contractors cycle out

Performance & Workplace Communications Team
! Manage day to day operations to drive efficiencies and productivity of the Performance & Workplace team, including:! Developing tools and templates to organize and streamline activities  
! Maintaining integrated comms calendar to manage to help strategically sequence projects  
! Providing project management support
! Preparing meeting agendas, scheduling conference calls, capturing meeting takeaways and action items

! Manage employee contests, giveaways, and surprise and delight moments.
! Coordinate design projects with the art director
! Help set up and staff employee meetings and events as needed (there are more than 50 events per year, sometimes offsite).
! Track event statistics and budgets and manage event/meeting calendar
! Manage and track storage account at offsite warehouse
! Work on special projects and ad hoc requests.

Qualifications:
! Bachelor’s degree preferred
! 2-3 years of agency or in-house PR experience or equivalent administrative experience
! Exceptional communications skills, including writing and editing, strong proofreading and grammar skills
! Expert knowledge with MS Office applications including Word, Excel and Outlook; Slack or Teams proficiency a bonus
! Keenly detail-oriented, with outstanding organizational skills
! Able to manage shifting priorities and remain calm and focused under pressure
! Effective interpersonal skills, discerning judgement and discretion
! Proactive problem-solver who can think on their feet
! Flexibility in schedule to staff early morning or late afternoon events
