KTM North America - a subsidiary of KTM, a global leader in the off-road motorcycle competition segment and developer and producer of street as well as off-road motorcycles - has an exciting opportunity for a EVENT SPECIALIST located in Murrieta, CA.

SUMMARY

Under general supervision, the Event Specialist is responsible for assisting in the scheduling, planning and execution of Company events, tradeshows and press events for internal and external projects involving Company staff, dealers, press and end-consumers.

ESSENTIAL DUTIES AND RESPONSIBILITIES

• Assists event manager with completion of event logistics including but not limited to project plans, transportation, displays, exhibits, venues, talent, travel, catering, graphics and AV.
• Writes and presents Event Project Briefs outlining goals, target audience, activities, schedules and key milestones to align cross-functional team.
• Prepares, communicates and tracks event milestone schedules to meet deadlines and ensure on-time delivery of all materials.
• Supports estimating, preparing and managing event costs to budget.
• Researches and summarizes potential hotels, facilities and venues for event locations.
• Supports contract negotiation of hotel, meeting space, venue, catering and sponsorships.
• Plans and coordinates staffing and labor for event set-up, execution and strike.
• Coordinates event travel needs such as air, hotel and transportation.
• Communicates with external business partners and vendors.
• Tracks event contracts through the approval to payment process.
• Submits and supervises contracts for approval by all appropriate internal teams.
• Responsible for updating and maintaining event calendar.
• In collaboration with outside vendors and design agency, facilitates and monitors production schedules and secures content from stakeholders. Materials may include: program guides; signage; presentations; delegate lists; event details, messaging, etc.
• Gathers all requirements to build event registration page and send invitations to appropriate attendees.
• Handles set-up and coordination of event on the registration system.
• Tracks and communicates registration status to internal stakeholders, including management, sales, and marketing, to help deliver the targeted number of desired participants.
• Creates event communications, including invitations, registration confirmation, reminders, and post-event surveys.
• Coordinates, conducts and recaps venue site inspections for evaluation and selection.
• Prepares and presents internal event reports and recaps as directed.
• Confirms on-site support, schedule and requirements for meeting space, logistical support, food and beverage, AV and staging.
• Serves as primary liaison with internal and external stakeholders on-site.
• Using knowledge, expertise and experience, makes recommendations to management relating to events, planning, operations, etc.
• Performs other duties as required.
