Overview of the Position:
The Allocation Coordinator is responsible for analyzing, tracking, allocating and fulfilling all orders processed through prAna’s Carlsbad distribution center and also Canadian 3PL warehouse. In addition, the position is accountable for ensuring effective communication throughout the internal supply chain to contribute to prAna’s customer service.
Proactively and independently works closely with Quality Control, Production, Sales and Distribution to communicate priorities, exceptions and urgent issues to better serve our customers with special attention paid to high priority customers and our B2C market.
Essential Functions and Responsibilities:
1. Inventory Analysis, Allocation and Order Fulfillment for prAna Carlsbad Distribution Center, Portland Rivergate Distribution Center (RVG) and Canadian 3PL (A52)
a. Continually review and analyze inventory needs/demands against availability, customer priority and shipping windows
b. Determine future reserve allocation of upcoming orders based on customer account, priority and timing
c. Proactively maintain awareness of any inventory issues (e.g. arrival times, quantity, shortages, etc) and coordinate all communication with internal supply chain/key contacts from production to sales
d. Support Inbound Coordinator and assist with container prioritization
e. Allocate and release pick tickets, utilizing ERP system (Full Circle), to distribution center at a pace that factors in daily and monthly shipping goals and distribution center workflow and staff levels while helping to maintain a low CPU and fewest shipments to customer
f. Control and communicate workflow priorities for distribution centers. Monitor and communicate order priorities to account coordinator at 3PL and RVG
g. Monitor open bookings against monthly shipping goals; provides updates and suggestions to contribute to achieving shipping goals; makes adjustments to internal monthly goal, as needed and communicates to management
h. Lead contact for weekly goal updates with all distribution centers
2. Canadian 3PL Inventory and Order Fulfillment Coordination
a. Perform inventory analysis and coordination tasks as described in section above.
b. Determine and enter monthly inbound/outbound projections in 3PL web-based operating system, Blast Ramp
c. Create weekly inventory transfers between RVGand Canadian distribution centers based on inventory availability and order needs; create and send weekly inbound receiving reports to account coordinator at 3PL
d. Processall inbound inventory receivers utilizing ERP system for both transfers and inbound production shipments
e. Reconcile yearly inventory between Full Circle (ERP) and third party warehouse operation systems
