If you’re on our team, it means you’re part of creating something extraordinary. You’re part of Brooks. As Brooks’ Senior Benefits Analyst, you will be the guru of all things benefits-related. You will bring an innovative approach to our health and welfare programs for the US, Canada, and expats. Responsibilities include full-cycle management of benefit plans, continuous benefit administration, annual plan design, program recommendations aligned with company objectives, and budget development and tracking, as well as activities to ensure our plans are competitive and compliant. This role will be dedicated to developing, implementing, and administering, best of class benefit programs, while educating employees through benefit communications and trainings. Responsibilities: • Own all Brooks’ North America benefit plans (US, Canada, and Expat) including but not limited to: Medical/Dental/Vision, Life, STD & LTD, COBRA, and employee perks. • Build the annual calendar for plan administration while identifying opportunities to enhance our current benefits offering to ensure alignment with Brooks’ values and culture as well as addressing employee needs in various demographics. • Bring a focus on innovation and recommendations around plan design, vendor relationships and management, and employee education and outreach. • Serve as the primary HR contact for employee benefit questions. Present benefits overview for all new employee onboarding. • Manage and update the Employee Benefit Guidebook including comprehensive benefit plan details and annual plan changes to benefit programs. • Work with HR Operations Specialist to ensure all third-party benefit billings are reviewed, audited, and paid appropriately • Work with the HR Systems team to design, review, and approve all benefit-related items in Workday. • Manage the execution of three North America open enrollment periods. • Collaborate with Brooks Payroll, Finance, HR Ops Specialist, and other departments to ensure accurate billing and payroll deductions for each pay cycle. • Manage vendor relationships, including insurance carriers, benefits broker, and 3rd party administrators for COBRA and FSA. • Annually review benefit plan contracts and associated plan documents and obtain necessary Legal review and corresponding approvals. Navigate plan design decisions and make recommendations. • Possess a thorough understanding of benefit laws such as COBRA, HIPAA, ERISA, and other related benefit regulations/laws and ensure company compliance within all applicable regulations. • Keep up-to-date on benefits legislation and regulations and implement changes to ensure Brooks’ benefit programs are compliant. • Complete annual compliance guide as provided by benefits broker, including but not limited to employee notices, 5500, Summary Annual Report, non-discrimination testing and 1094/1095 forms. • Own the administration of FMLA, (state leaves and leave programs), ADA, Worker’s Compensation and other state and federal requirements to ensure compliance and equity of decisions by applying knowledge of laws and administrative best practices. • Ensure compliance with ACA reporting. Own data integrity, reporting, and troubleshooting of ACA system (currently Health efx). • Annually review our Employee Perks to assess the effectiveness of each program. Make recommendations for changes, additions, and deletions. Work with HR Programs Specialist to ensure effective design, launch, and ongoing administration. • Plan and deliver successful annual employee benefit events such as the Wellness Fair, biometric screenings, and ongoing benefit education events. • Create employee benefit communications to promote benefit programs. • Complete annual benefit surveys, including but not limited to Milliman, HRRT, and Best Places to Work. • Ensure extreme confidentiality of records and information. Qualifications: • Bachelor’s degree in human resources or business; PHR/SPHR certification a plus. May be substituted by specific, relevant HR experience. • 5+ years of human resources experience specifically in benefit administration and management. • Experience with Workday preferred. • Experience managing self-insured health plans preferred. • CEBS certification, a plus. • A strong customer service orientation. • Prior vendor management experience. • Excellent verbal and written communication skills, demonstrating effective listening through concise, clear verbal and written communication. • Strong interpersonal and communication skills with the capability to build trust and respect within the organization. • Strong analytical skills, a thorough knowledge of plan designs, and knowledge of the benefits legal environment. • Computer proficiency and technical aptitude with the ability to utilize MS Word, Excel, PowerPoint. • Knowledge of benefits contract language. Current working knowledge of federal and state benefit laws and regulations, including COBRA, Section 125, ERISA, HIPPA, FMLA, ADA, OSHA and Affordable Care Act knowledge. • Love of data & accuracy! Extremely detail-oriented and able to manage own schedule to meet daily, weekly and monthly deadlines. • Must possess the ability to execute a wide variety of tasks and work in a fast-paced, team environment. • Keen attention to detail in planning, organization and execution of tasks, while still seeing the big picture and understanding how all of the pieces fit together and affect one another. • Strong self-starter – ability to take on and complete projects with minimal direction. • Proven ability to handle confidential information professionally and discreetly. • Flexibility to handle unexpected projects and a demonstrated willingness to help others. • A passion for the running enthusiast and active lifestyle. • Embraces and lives the Brooks values!
