As the Footwear Executive Assistant (“EA”) you will hold a broad and varied range of responsibilities that support and execute upon initiatives sponsored by the office of the Senior Vice President (SVP), Footwear. Responsibilities include project management, people management, meeting and offsite logistics, travel arrangements, event planning, drafting communications (e-mail and presentations), managing executive scheduling and providing administrative support to the SVP Footwear and Footwear Team. You will be responsible for assisting with communications and managing meeting logistics on a regular basis. Footwear Team support will include scheduling key meetings following the Footwear Creation Calendar. The Footwear Team EA is the liaison between the SVP, Footwear and the Footwear functions; Research and Development, Design, and Merchandising.

Your Responsibilities:
! Partner with the SVP, Footwear to project manage and support strategic Footwear initiatives that deliver measurable results across the business strategy, including Research and Development, Design, and Merchandising.
! Manage, develop and coach the Footwear Administrative Coordinator. Promote development and manage their performance using Brooks HR processes.
! Plan, organize and execute meetings, including the steering committee meetings, Footwear calendar meetings, requests from functional leads and other departments and offsite meetings.
! Work with department heads to set agendas
! Plan for logistics
! Own follow through and post mortem
! Serve as a business partner to the SVP, Footwear ensuring strategic, proactive, and thoughtful support of the organizations’ business cycle.
! Develop internal communications for the Global Footwear team including presentations, internal company and external partner communications. Own delivery of communication to target audiences and serve as the point of contact for global communication for Global Footwear.
! Partner with SVP Footwear to drive culture initiatives across Footwear and help build team integration and collaboration to deliver desired business results.
! Proactively manage and maintain SVP, Footwear’s calendar: Schedule meetings, arrange travel and planning for commitments.
! Schedule direct reports 1:1’s and quarterly reviews with SVP, Footwear
! Organize travel and complete expense reporting for the SVP, Footwear and team events as requested.
! Lead Footwear team planning and execution for Sales Meeting presentations and breakouts
! Key liaison with NA Sales to integrate Footwear needs into meeting agenda/planning
! Work on-site at bi-annual NA Sales Meetings to support Footwear team needs during the event.
! Participate on the planning committee for NA Sales Meeting
! Own and plan Footwear team offsites and events including The Running Event.
! Event planning responsibilities include: Budget ownership, site selection, contract negotiation, vendor relationship management, coordination of travel arrangements, on-site event management, as well as administrative functions around attendee communication and registration, planning documents and post-event reporting.
! Support Asia Footwear activities/team including managing cash and credit card expenses, organizing US accommodations, and visa support
! Support US Footwear activities/team including visa processing and managing credit card expenses and team events
! Coordinate onboarding of new Footwear hires
! Perform other duties and complete projects and research as assigned

Qualifications:
! Bachelor’s degree in Business Administration or related field preferred.
! 3+ years of experience supporting the executive-level
! 1+ years management experience preferred including hiring, effectively directing the work of staff, coaching, development and managing performance
! Outstanding interpersonal and communication skills to effectively interact with all levels of employees along with customers, partners, vendors, and corporate executives. Ability to build trust and respect both inside and outside of the organization.
! Advanced calendar management skills. Ability to manage various calendars at once.
! Demonstrated ability to handle complex employee requests associated with senior leadership roles.
! Ability to work with confidential information and manage appropriately.
! Excellent organizational capabilities and time management skills; ability to work well independently.
! Must be extremely detail-oriented and able to meet daily, weekly and monthly deadlines.
! Must possess the ability to execute a wide variety of tasks and work in a fast-paced, team environment.
! Strong self-starter – ability to take on and complete projects with minimal direction.
! Intermediate to advanced level skills in PowerPoint, Word, Excel and Outlook.
