Our company is currently experiencing rapid growth and we are seeking a motivated and detail oriented individual to take on the Executive Assistant position. This individual will report directly to the executive management and work independently to manage various tasks and projects from conception to completion. The ideal individual will effectively exercise good judgment in a professional atmosphere, with strong written and verbal communication, administrative, and organizational skills and the ability to maintain a realistic balance among multiple priorities.
DUTIES & RESPONSIBILITIES:
-- Efficiently manage a broad variety of administrative tasks: maintaining an extensive schedule and calendar, maintaining confidential information and files, compiling documents as requested for meetings, composing and preparing correspondence, arranging complex and detailed travel plans, itineraries, and agendas
-- Prioritize and follow up on incoming issues and concerns addressed to CEO, and determine appropriate course of action
-- Work closely and effectively to keep CEO well informed of upcoming commitments and responsibilities
-- Successfully completes critical aspects of deliverables with a hands-on approach, such as drafting acknowledgment letters, personal correspondence, and other tasks that facilitate the CEO’s responsibilities
-- Prioritizes conflicting needs, handles matters proactively, and follows-through on projects to successful completion, often with deadline pressures
-- Provides a smooth communication between CEO and internal departments, demonstrating leadership, trust, and support with the company
-- Running personal and business errands for CEO
-- Act as an extension of the CEO in a manner that maintains positive, effective and collaborative working relationships across the organization.
-- Planning special events and executing special projects as they arise
-- Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point)
-- Eager and willing to take on any task and run with it. You’ve got gumption and don’t back down from any task easily.
-- This person must be able to research, analyze, and present new areas of exploration for the company
-- Organized, sharp, and always thinking 10 steps ahead
-- Strong interpersonal skills and the ability to build relationships with executives, stakeholders, employees, and external representatives.
-- Advanced written and verbal communication skills
-- Proactive approach to problem-solving with strong decision-making capability
-- Highly resourceful team-player, with the ability to also be effective independently. This role will require work with different departments and across multiple concurrent projects.
-- Must have strong multi-tasking skills with the flexibility to handle quickly-changing priorities and able to communicate changes with sensitivity
-- Previous experience working a fast-paced, time-sensitive, highly confidential environment where there are continually changing priorities; able to make independent, sound judgments in high-stakes situations
-- Must have at least 5+ years of experience as an executive assistant
-- Experience assisting C-Level Executive preferred
