Rastaclat is looking for an experienced Operations Manager to join our team. The Operations Manager plays an important role managing the Rastaclat Customer Service Team, Allocations department, and overseeing the 3PL and Facilities.

An ideal candidate has experience in providing sales and operations support to both Domestic & International Wholesale Channels. Must have prior experience servicing Major Domestic Accounts, understand EDI Processing and is familiar with Vendor Compliance & Routing manuals. Strong B2B Sales Reporting, Analysis, and Full Circle ERP expertise is required. A preferred candidate is a self-starter with the ability to multitask, have strong problem-solving skills, and is well organized to manage a Customer Service, Allocations and 3PL partner in a fast-paced environment.

This role requires daily written and oral communication between all departments in the company, Domestic and International sales partners, and the sales team. A positive attitude is essential.

RESPONSIBILITIES //

MANAGEMENT:

• The Operations Manager will be responsible for driving operational excellence.
• Responsible for anticipating service and preventing situations that impact customer satisfaction.
• Manage Customer Service team, Allocations, and oversee 3PL and Facilities to ensure cancel dates and delivery objectives are always met or exceeded.
• Strengthen Order Fulfillment Process with Product, Sales, Warehouse, and Accounting Departments.
• Service Accounts as needed in all Sales Channels.
• Plan, prioritize, monitor, and delegate work tasks to ensure proper functioning of the Operations and Sales departments.
• Demonstrate ownership, accountability and initiative in all Sales, Customer Service, Allocations and 3PL tasks, large or small.
• Identify and implement strategies to improve quality of service, productivity and profitability.
• Coordinate with cross-department teams to ensure proactive management of current and future sales orders.
• Oversee management of MAP Policy.
• Work closely with 3PL partner to ensure accurate and timely PO receiving and Allocations to ensure all product ships on time.
• Manage the processing of EDI Orders, analyzing for discrepancies, variances, errors or backup of processing purchase orders.
• Oversee the communication with freight forwarders and trucking companies to coordinate international distribution shipments and manage virtual warehouse and inventory.
• Ensure accurate, CPA audited, physical inventory counts with variance of 1% or less.
• Assist in the mentorship and development of our Sales Support and Allocations team.

REPORTING & COMMUNICATION:

• Manage Allocations and Sales Support staff on their Weekly Order file maintenance for International, Domestic, and Sports Licensing account base.
• Monitor accuracy of reporting and data base information.
• Field International, Sports Licensing and Domestic Account issues to provide solutions and alternatives in timely manner to ensure resolution.
• Run weekly reports to ensure purchase orders are shipping on time.
• Monitor short shipments, late shipments and double shipments with Sales team.
• Review, track and problem solve customer complaints.
• Daily communication with Sales Management and Sales Representatives to resolve outstanding requests.
• Ensure customers and international partners are immediately notified of any issues that could affect their orders.

COMPLIANCE:

• Responsible for understanding all customer EDI, VAS, and compliance requirements as well as oversee the ticketing/routing process for Majors and Key Accounts in all Sales Channels.
• Ensure ticketing and routing guidelines are followed exactly how they are outlined in Vendor Compliance Guides.
• Perform weekly check of Majors Sales Orders. Ensure needed compliance documents for outgoing PO’s are on file.
• Coordinate with Production and Warehouse for all in-house ticketing needs for Major Accounts and International Partners.
• Request and analyze compliance reports from Vendors. File, organize and report any discrepancies to Operations and Sales Management, as well as ensuring 3PL partner is aware of any updates.

SALES / PRODUCTION:

• When required, assist in sales support task, including, but not limited to, data entry, order maintenance, order status updates, and reporting.
• Review and track Weekly WIP reports to make sure we have product needed to fill all open orders. Confirm Shipments as ready from Factory with Production team.
• Review status/location of shipments, updating Sales teams of product movement to help open order planning.
• Coordinate with International Sales Support, Distributors, and Production team for International drop shipments.
• Work with Courier and Freight Forwarder partners.

SALES / ACCOUNTS RECEIVABLE:

• Track Accounts Receivable issues with Accounting and help to close any issues with AR and Support team.
• Follow up and assist with Account Receivables for International, Domestic, and Sports Licensing account base.
• Serve as the critical intermediate between Sales and Accounting department to monitor and resolve credit issues keeping both proactively informed of any updates.

REQUIREMENTS //

• Extensive experience with Full Circle is required.
• Experience working with 3PL warehousing and fulfilment.
• Microsoft Office required; MS Excel proficiency required.
• Prior experience with Monday, Domo, Sales Force, Brandboom, and Keynote/Powerpoint is a plus.
• Experience supporting EDI customers preferred.
• Experience with accessories, sneakers, and fashion products.
• Ability to multi-task and work both independently and within a group.
• Able to work under pressure with deadlines.
• Must be organized and detailed oriented with ability to prioritize multiple projects.
• Self-starter with positive outlook who is motivated to lead and learn.
• Team player, positive attitude and enthusiastic.
• Must enjoy a fast-paced environment.
