POSITION SUMMARY: The Senior Regional Assistant is responsible for providing administrative support to the Regional Sales Manager Calvin Klein Retail Division. The Sr. Regional Assistant also provides additional support to the Calvin Klein Retail Operations team and acts as a liaison to the field for select tasks and projects. The position involves multiple field and store duties as well as company-wide administrative store operations responsibilities.

This position requires a high-energy, self-motivated, detail-oriented professional with strong multi-tasking, written and oral communication, organization and coordination abilities.

PRIMARY RESPONSIBILITIES/ACCOUNTABILITIES OF THE JOB:
Support Regional Sales Manager (RSM) in sales analysis, travel planning, field budget, expenses, meetings, calendar, communication, and select operational items.
Gather and analyze retail store sales/statistics by period (week, month).
Prepare reports and analysis for key meetings.
Make travel arrangements.
Complete and submit detailed expense reports.
Manage and prioritize incoming and outgoing communications, including external/ internal mail, telephone calls and reports.
Run and distribute key reports and tools for all stores.
Process select invoices for all stores.
Gather field and store feedback on global initiatives.
Coordinate home office requests with Regional Assistants.
Follow up on weekly reports, status updates, meetings, projects, programs and events.
Manage Outlook Contacts and Calendar.
Maintain organized office/systems.
Consolidate information from multiple sources to facilitate supervisors review by compiling annual/monthly performance statistics
Manage special projects
Coordinate and plan details of meetings logistics, budgets, communication, and presentation preparation
Collect and analyze store audits for loss prevention improvement opportunities
Order all office supplies

Minimal Travel required
Willingness to work a flexible schedule

BUDGETARY RESPONSIBILITIES: Responsible for compiling annual field travel and meeting budgets and monthly expense tracking and communication.

DECISION-MAKING: Make decisions on daily activities in stores, and update RSM as needed. Ensure 100% confidentiality at all times.

RESOURCEFULNESS/CREATIVITY: Ability to handle multiple tasks in order to complete on a timely basis. Must be able to adapt to and work with all levels of management on a daily basis.

ENVIRONMENT: Must be able to work well with others. Coordinate meetings between multiple parties. Manage calendar and calls. Organize and file communication and other business materials. Must be able to work under pressure to meet deadlines and changing priorities.

QUALIFICATIONS & EXPERIENCE:

Experience: 4-6 years of experience as an Administrative Assistant preferred.
Prior retail experience a plus.

Education: Bachelors degree preferred

Skills:
Ability to handle confidential and sensitive information appropriately
Ability to lead assistants in other regions
Work remotely with supervisor and Store Operations effectively
Proficient in Excel, Word, PowerPoint and Outlook
Knowledge of JWalk, Sales Reports,The Cube (Data Warehouse).
Organizational skills with a desire to maintain a schedule, budgets, filing systems and calendar
Ability to handle changing priorities; multi-tasking
Strong prioritization and follow-up skills; strong sense of urgency
Ability to work independently
Excellent verbal and written communication skills, including ability to draft correspondence with minimal direction
Exceptional interpersonal skills
Possess exceptional time management skills, ensuring efficiency and accuracy in pressured situations
