The Position
Mission:

Ensure smooth operation of the business providing high quality executive personal assistance and administrative support to the Managing Director through a great coordination with the functions involved.
Ensure discretion in dealing with confidential data, in performing wide range of administrative and general support and in communicating with senior-level internal and external contacts.


Main Responsibilities:
Support the Managing Director to manage workload and activities
Schedule team meetings, attend monthly meetings and Board of Directors meetings, take minutes and act as a point of contact for Directors
Identify, anticipate and prepare information requirements of the MD for meetings, appointments, presentations etc. and follow up inward and outwards requests for information, outstanding reports, and correspondence
Coordinate and maintain the agenda of the Managing Director including organizing of all appointments, meetings, travel arrangements
Monitor, respond to and redirect emails as appropriate. Organize and maintain principal's correspondence and records, following up on pending matters with limited direction
Arrange meeting rooms for internal and external meetings as requested, and in advance for recurring meetings
Assist with the coordination of specific projects, such as team events, negotiating with vendors for guaranteeing the best terms
Receive and screen telephone calls, letters, and/or visitors, answering routine questions and obtaining and furnishing information to save MDs time
Draft correspondence for principal's final approval and prepares special reports, gathering, summarizing, and analyzing data.
The Ideal Candidate
At least 4 years of experience as Executive Assistant or similar role
Outstanding organizational and time management skills
In-depth knowledge of MS Office and related applications
Fluent in English and Italian
Discretion and confidentiality
Strong relationship skills and ability to maintain interpersonal effective networking and stakeholder management
Strong proactiveness
