<p><b>PRIMARY RESPONSIBILITIES OF THE JOB:</b></p><ul><li>Prepares and plans all on-site design meetings (fittings, stylings, and design presentations)</li><li>Understands ongoing in-person activities, and does pre-work for upcoming events</li><li>In-person meeting preparation and follow up: reviews upcoming meetings to ensure meeting attendees have all logistical needs ready in advance</li><li>Liaises with the Talent and Production teams to book models, stylists, photographers for fittings and stylings</li><li>Liaises with Facilities team to ensure design teams have all necessary supplies and equipment for fittings and stylings</li><li>Attends and monitors in-person meetings to ensure all corporate safety protocols are adhered to by staff, visitors, and models for the duration of the event</li><li>Prepares, attends, and monitors in-person meetings with videoconference participants to ensure the connection runs smoothly</li><li>Responsible for maintaining daily building visitor lists and relaying information between design/merchandising teams and HR/Facilities/Building Security</li><li>Facilitates all new hire set-ups including network & application access and hardware deployment</li><li>Purchases office and design supplies as needed</li><li>Purchases and tracks inspirational reference samples for design teams</li><li>Records model booking information and tracks invoicing statuses</li><li>Liaises with the Design and Archives teams to pull, tracks and returns loans from the archives facility </li><li>Responsible for maintaining and managing the overall office and design environment; ensures clean and prepared workspace</li><li>In-person events lead; develops strong collaborative relationships with Designers and Facilities teams</li><li>Liaises with travel agency to organize business travel, if needed</li></ul><div><p></p></div><p><b>QUALIFICATIONS & EXPERIENCE:</b></p><p></p><p><b>Experience: </b>Minimum 3 - 5 years of experience as an administrative assistant,</p><p>preferably with experience in a fashion brand</p><p></p><p><b>Education: </b>Bachelors Degree in related field preferred</p><p></p><p><b>Skills: </b></p><p></p><ul><li>Detail-oriented and highly organized with a desire to maintain multiple, ongoing in-person events</li><li>Strong sense of urgency; strong prioritization and follow-up skills</li><li>Ability to handle high stress situations with grace and composure</li><li>Ability to work long hours and weekends during peak periods</li><li>Excellent at handling changing priorities; multi-tasking with finesse</li><li>Excellent verbal and written communication skills, including ability to draft correspondence with minimal direction</li><li>Must possess exceptional interpersonal skills</li><li>Must be proactive and resourceful with all tasks</li><li>Strong knowledge of Excel, Word & PowerPoint</li><li>Comfortable with online meeting software, video conference, and remote meeting set-up</li></ul><div><p></p></div><p><b>INTERNAL & EXTERNAL CONTACTS:</b></p><p><b> </b></p><p><b>Internal: </b>Design, Merchandising, Supply, and Marketing teams</p><p></p><p><b>External: </b>N/A</p><div><p></p></div><p><b>SUPERVISORY RESPONSIBILITIES:</b></p><p></p><p><b>Direct: </b>N/A</p><p></p><p><b>Indirect: </b>N/A</p><p></p><p><b>BUDGETARY RESPONSIBILITIES: </b>Office Supplies and shipping budgets</p><p></p><p><b>DECISION MAKING: </b>Responsible for managing constantly-changing events while insuring accurate procurement of logistical & technical resources and ensuring that health and safety requirements are met.</p><p></p><p><b>RESOURCEFULNESS/CREATIVITY: </b>Resourcefulness is a strong component of this position, as the schedule and obligations are constantly changing.
