Position Information:
Full-time, temporary position anticipated to end on or before six months and one day from initial appointment, with possibility for reappointment and/or permanency.

The Sports Business MBA Program Coordinator serves as a staff member in the College of Business Administration assigned to Specialized & International Programs, Sports Business MBA Program. The incumbent has significant responsibility for the administrative and support services of this fast-paced, dynamic, customer-service oriented program. The coordinator works closely with the program director in a wide variety of areas including but not limited to marketing & recruiting; on campus and online information sessions; prospective student support; pre-screening of applicants; application process & follow-up; admissions and enrollment; academic scheduling; program support; classroom support; student support; faculty support; office support; graduation and alumni relations. The program coordinator uses independent decision-making in solving and troubleshooting problems as they arise. The program coordinator interacts with and provides a high level of support to various constituents and groups including students, alumni, faculty, sports business executives and other special guests, representatives from university divisions and auxiliaries as well as the general public. The program coordinator needs to be knowledgeable about the business of sports in San Diego and beyond, and is responsible for arranging field trips to sports facilities and setting up interviews with sports executives for a podcast/blog. The coordinator uses all forms of communication in order to successfully perform the work (phone, email, fax, mail, social media, etc.).

Responsibilities

Prospective Student Support:
Respond to prospective student inquiries (phone, email, fax etc.); color-code and organize master database of prospects for each admissions cycle; gather information via email and phone from prospects (including résumé and contact information) to set up recruitment appointments with the Director and the prospect; assist with campus/ classroom tour logistics for prospective student visits; set-up prospective student file; assist with miscellaneous prospective student needs under the direction of the program director.

Pre-screening of Applicants:
Review prospective student file; set-up student interview as directed by program director; work with university staff to ensure all applicant file materials are received; assist with miscellaneous pre-screening needs under the direction of the program director.

Application Process & Follow-Up:
Assist student with on-line application process; assist international students with specific requirements for international admission; update database and student files with incoming documents and notify students; review student admission status for incomplete documents; assist with miscellaneous application process needs under the direction of the program director.

Admissions & Enrollment:
Review student admission status; review student enrollment status; track conditional admits; track incomplete grades; assist with miscellaneous admission and enrollment needs under the direction of the program director.

Student Support Other:
Prepare student grade letters as requested; connect international student with SDSU’s International Student Center for visa processing and all compliance matters; ensure that all students going abroad complete all OIP materials prior to departure; assist with financial aid process; assist with veteran's aid process; assist with on-line registration process; assist with program payment process; order and distribute student trolley passes; distribute textbooks, readers, miscellaneous class materials; assist with program’s ongoing efforts to improve student professionalism and outreach; assist with miscellaneous student support needs under the direction of the program director.

Academic Scheduling:
Prepare finalized cohort class schedule and all updates; prepare cohort course proposals and all updates; assist with miscellaneous academic scheduling needs under the direction of the program director.

Program Support:
Order all class catering and submit contracts for processing; review, prepare and submit documentation to advance student to candidacy; review, prepare and submit programs of study; review, prepare and submit graduation applications; open classroom and take attendance as needed; provide administrative support to program events e.g. new student orientation, welcome reception and graduation, scheduling and coordination for occasional in-town and out-of-town field trips; order, distribute and manage program parking passes; order and distribute promotional items; provide administrative support to program related committee meetings, faculty and staff retreats as needed by director; update program website with direction from program director; assist with miscellaneous program support needs under the direction of the program director.

Graduation:
Assist with miscellaneous graduation support needs under the direction of the program director.

Alumni Relations:
Maintain CRM database; coordinate occasional alumni events; distribute alumni newsletter with program and alumni updates; assist with miscellaneous alumni relations needs under the direction of the program director.

Faculty Support:
Provide academic support to faculty e.g. ordering textbooks, readers and miscellaneous class materials; prepare, conduct and compile faculty evaluations; assist faculty with grading deadlines; assist faculty with guest lecturers and speakers e.g. providing parking passes, requesting proper documentation and submitting for payment processing; assist faculty with travel planning, T-2 forms, etc.; assist faculty with travel expenses, process expense forms, request for advances, etc.; assist with miscellaneous faculty support needs under the direction of the program director.

Office Support:
Maintain regular office hours; answer office telephones; meet and greet all program visitors; review, distribute and/or respond to general office emails; review, distribute and/or respond to office faxes; manage office parking permits; act as office program coordinator; act as office safety coordinator; order office supplies and maintain sufficient inventory; assist with miscellaneous office support needs under the direction of the program director.

Classroom Support:
Monitor classes and assist faculty and students with equipment issues and technical problems; remain attentive to the needs of students and faculty in case either request special assistance in the classroom environment; ensure classroom cleanliness; assist with miscellaneous classroom support needs under the direction of the program director.
