As the Executive Assistant to the Head of Operations and Head of Innovation, your role will be to support all day-to-day administrative requests. As an Executive Assistant, competence, confidence, and humility are words you live by. You are a self-starter and are always able to succeed in an unstructured work environment with a strong desire to complete projects by deadline. You have excellent interpersonal, written, and verbal communication skills. You are an energetic, performance-driven go-getter who enjoys delving into special projects and taking ownership of rewarding, hands-on duties. You are a confident Executive Assistant who possesses the strong ability to juggle competing priorities in a fast and agile environment.  Lastly, and most importantly, you are a vault when it comes to handling confidential information.
 
In this role, you will have a ton of exposure to all areas of the business and confidential matters.  You will have a ton of opportunity to work autonomously as well part of the Executive Support team.  You will have regular interaction with senior executives, chief executive officers, board members and chairpersons, as well as communicating and collaborating across multiple internal departments.
 
Responsibilities:
Work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion
Proactively anticipate and track critical dates, events, and associated milestones or deadlines
Prepare daily schedule as well as creating checklists
Collaborate on and sometimes lead event planning from small two-person meetings at our offices, to larger off-site meetings
Meeting management – schedule, send calendar invitations, draft agendas, prepare conference room, take notes, distribute follow-up action items
Contract administration; creating contract abstracts, monitoring key dates and keeping well-organized digital records
Read, sort/filter email inbox and flag most important and urgent emails; handle responses to lower priority emails
Document management; manage and organize all digital files
Assist in the preparation of presentations and other similar deliverables
Office management duties such as ordering office supplies and coordinating miscellaneous office services when required
Periodically assisting with general errands such as lunches for meetings
Filing and clerical work as needed
Facilities management duties as and when needed
Proactively create and manage travel arrangements preparing any materials as necessary (electronic or paper) and be available to assist with urgent, last minute changes re-routing flights (possibly outside of office hours)
Arrange mail and package shipments
Interoffice coordination and communication between all departments
Coordination, management and execution of various ad-hoc projects, ensuring that the project plan tasks, schedules, estimates, and statuses are maintained
Work on special projects that can be complex in nature and require considerable judgment, initiative and knowledge to resolve problems and recommend solutions
Manage personal matters for assigned roles as requested
Qualifications and Attributes:
Bachelor's Degree required
Minimum of 4 – 6 years of relevant administrative professional experience supporting multiple departments and busy, top level executives in an ever-changing environment
Required office hours are 8:00 am – 6:00 pm, Monday – Friday with the ability to work outside of business hours from time to time when needed by the business
Preferably recent experience directly supporting a c-level executive of a high growth company
You are a vault when it comes to handling confidential information
Excellent editing and proofreading skills
High level of proficiency in Outlook and all Microsoft products
Confident and able to exercise good judgment in a variety of situations
Poised and calm under pressure, able to handle stressful situations professionally and confidentially
Independent critical thinker, creative problem solver who is proactive, solution oriented and able to anticipate needs
Excellent at taking conceptual ideas through to a solid presentation
Self-starter, able to succeed in an unstructured work environment with a strong desire to complete projects by deadline
Ability to efficiently manage multiple tasks and work in an entrepreneurial, fast-paced environment
Naturally able to prioritize activities with the biggest impact and focus time/effort accordingly
Excellent interpersonal, written and verbal communication skills
Able to work in an ambiguous and agile environment
Comfortable handling tedious daily tasks as well as applying your creativity to numerous special projects
Organized and enthusiastic
Thorough and tenacious, determined to find answers
