ABOUT THE POSITION

The Columbia Sportswear Marketing team is a strategic function that represents the heart and soul of the brand. The team protects and nurtures the Columbia brand and its heritage, while being deeply connected to consumers to serve them, today and into the future. We craft the voice, look and feel of the Columbia brand on all outbound consumer facing communication, and are responsible for how we attract, engage and retain consumers. Our ultimate goal is to unlock the outdoors for everyone through our amazing products and marketing initiatives.

Columbia is looking for an Executive Assistant to provide confidential administrative support to the CMO (Chief Marketing Officer) of the Columbia brand. This role will be vital in handling a broad scope of confidential and proprietary information, managing office matters like scheduling and offsites, which allow the teams to run like a well-oiled machine. The role will also involve working on special projects as assigned.


HOWYOULLMAKE A DIFFERENCE
Provides analytical and specialized administrative support to the CMO. Performs critical and confidential administrative duties and coordinates the production of correspondence and work projects for the CMO and her team.

Screens incoming communications and messaging to best assist and coordinate meetings, calls, and in person appointments. Evaluates the relative importance of each and handles appropriately.

Composes letters and reports from verbal instructions. Attends meetings as needed to scribe notes for distribution and record keeping.

Schedules appointments and coordinates calendars. Keeps Outlook and contact lists updated and synced to always ensure efficiency and access for the leaders.

Provides administrative and project management support for the brand marketing team.

Coordinates onsite and offsite meetings (large and small) including attendees, facility, equipment needs, catering, etc.

Coordinates travel arrangements, hotel and car accommodations, and planning of itineraries.

Enters expense reports in a timely manner for leadership team.

Develops office procedures and organizational/operating systems, as necessary.

Maintains follow-up on action required.

Maintains positive open lines of communication with all Columbia Sportswear management, staff and other departments in order to contribute to the smooth flow of information and efficient operation of the organization.

Assists and collaborates with other Executive Assistants.

YOU ARE
Well versed in customer service, inter-personal, and verbal/written communication.

Skilled in solving problems, making decisions, operating independently and with discretion, and working effectively under pressure.

Able to use the telephone, computer hardware/software including keyboard, type, sit and stand for extended periods of time.

Able to react quickly to shifting priorities.

A change maker, who is accountable and proud of your work and contributions to the organization.

Able to read, write, and speak English.



YOUHAVE
Minimum of five years experience in an Administrative Assistant position with increasing responsibility.

Experience supporting multiple executives at a time.

Associates degree in business or related area preferred.

Advanced skills in MS Word, Excel, PowerPoint and Outlook.

Strong organizational skills.
