Creative Coordinator

- Executive Assistant to Chief Creative Officer
  -- Liaison between Chief Creative Officer and interdepartmental contacts (Account, Project Management, Media, Production, Executives)
  -- Screen all phone calls outside of network and primary contact for those within WPP Network
  -- Arrange travel needs such as flights, car services, restaurant reservations and travel itineraries
  -- Manage expense reports
  -- Assist with approval of timesheets and expense reports for Chief Creative Officer subordinates
  -- Analyze time spent on projects on behalf of Chief Creative Officer
  -- Maintain and organize private information as requested
  -- Create letters and emails to send to agency and/or contacts
  -- Complete all clerical tasks as needed 
  -- Assist in preparation of creative presentations
- Support Creative Directors with all administrative tasks including:
  -- Travel arrangements such as flights, car services, restaurant reservations and travel itineraries
  -- Management of expense reports
  -- Serve as conduit to Finance, Human Resources and Information Technology
  -- Communicate with prospective freelancers based on portfolio submissions from Creative team
- Provide administrative support to the Creative Department
  -- Act as resource for entire Creative Department staff (i.e. answer questions pertaining to office and client policies, expenses, travel arrangements, etc.) 
  -- Maintain department schedule (i.e. vacations, personal days, press check and production shoot days)
  -- Ensure all creative department staff submit timesheets on a regular, weekly basis
  -- Create, organize, and file presentations, decks, documents, etc. 
  -- Coordinate needs for meetings (i.e. order meals, book conference rooms, arrange call-in numbers, send out invite, etc.) 
  -- Provide after hour and weekend support including meal arrangements and material needs
  -- Track inventory and manage supply orders for The Old Shed (matting room)
- Assist Chief Creative Officer and Project Management Office Director with creative resourcing services
  -- Assist the coordination and internal management of portfolio and resume reviews; schedule interviews and candidate follow-up communication 
  -- Track award show deadlines; create and submit entries to ensure on-time submissions 
  -- Work closely with HR to coordinate the onboarding of new employees (freelance and regular) including workstation set up, IT, phones, and orientation 
  -- Conduct any competitive research needed for Creative Department 
  -- Assign, coordinate and manage creative staff resources (which Creatives are available and best suited to be assigned to upcoming projects to optimize time and efficiency)
  -- Keep track of workload for each creative (who is working on what and coordinate with project management and account management)
- Provide administrative support for Executive Team as needed
- Assist in preparation of client presentations as needed
- Help coordinate departmental, office and client events including but not limited to the company holiday card, holiday party, all-agency meetings, monthly creative mixers, company yearbook and summer party

Market and promote artists and events through distribution of fliers and use of social media
