Goal desired is to utilize current skill set with established company that has no intention in relocating.

Currently involved in corporate global accounting conversion to SAP, multi-level clean up.  Have been solely responsible for bringing multi-million dollar accounts current.  Part of team environment, however operating independently.  This is a temp assignment only.

Performed the following duties for Controller and Engineering staff – create payables batch with logged job numbers in Vision system, research payment inquiries, purchase order creation, verify expense reports, month end logging of phone, van and office machines to proper job numbers.  Assist Technical Librarian with recording periodicals and distribute.  Answer phones, mail distribution, and some shipping requests.

Administrative/Accounting Support

Direct report to Controller. Full charge A/P & A/R, coding GL accounts for payment processing, company AMEX reconciliation, expense reports, commission reports & processing and aging reports to both regional and international sales team. Check deposits, cash applications and credit card charging.  

First point of contact using ShoreTel phone system.  Maintain meeting/conference room calendar, mail distribution, and order office supplies. Work order closures, laminating of Quick Start instructions, create new vendor file and re-evaluation of current vendors for ‘preferred’ status.  Assist Human Resources with setting candidate interviews, posting on job boards, researching college career day events, compiling training data, wellness programs and other tasks as requested.

Bookkeeper/HR Office Assistant

Daily tasks consisted of pulling reports for our students and meeting with Directors, posting attendance, working closely with Career Service & Account Representatives as we guide students through extern process as final phase of their education.  File audits to ensure campus is meeting requirements for accreditation.

Extern Administrator

Oversee department functions which are, but not limited to, as follows. Creation of trip departure folders that include passenger lists, hotel rooming lists, campground confirmations & invoices.  Daily communication with Sales in home office based in the UK.  Compile Gateway rooming lists and transmit to properties.  Seasonal preparations, coming season allocations and contract negotiations.  Coordinate with Recruiting Department their itinerary for new prospects.  Research new properties for new tour proposals and maintain relations with existing properties.   Maintain communication with Tour Leaders and Operation Managers.  Assist accounting department with inquiries and/or discrepancies.
