Event Coordinator

Serve as lead planner/coordinator for training programs and conferences. Responsibilities include working with CLEAR and CAMS clients on: Contracts (negotiations, selections); primary contact – host city; Exhibitors and sponsor programs; hotel block set up/negotiations; all transportation; audio-visual; conference and hotel decorator; and, all event and hotel security.  Lead in scheduling, implementing and handling logistics for three international conferences and five national membership conferences on- and off-site. As well as 20 educational mini-conferences throughout the year.  Lead staff for sponsorship programs, procedures, (including contract review, pricing etc.) and procurement (research and order sponsored items, as necessary). Provide estimates for food and beverage events for potential sponsorships. Manage sponsor plan fulfillment in coordination with colleague leading overall sponsor and exhibit program.  Advisory role regarding NARA membership strategy.


Pre-event and onsite communication with delegates and vendors.  Relationship-building with key board members and vendors.  Establish staff schedules, task assignments, equipment allocation to ensure conformance with event/association objectives and goals.  Prepare budgetary recommendations for events.  Negotiate agreements with outside providers and subcontractors to ensure lowest cost and highest quality of service.  Work closely with internal and external event planning committees and client groups to define event goals, objectives and specific implementation plans that promote the association’s brand.  Source venues, recommend and engage catering, acquire supporting technology and coordinate development of materials to execute a quality event.  Maintain a calendar of events and implement a system that enables and anticipates long-term planning effective event management for the associations’ meetings, conferences, and events.  Provide post-event analysis and participant feedback.

Event Manager

Managed association staff and volunteers at off-site events/conventions. Developed a membership recruitment and retention campaign.  Developed and maintain the Mentor program used to link Georgia licensed veterinarians and UGA veterinarian students.  Developed a successful marketing initiative to re-recruit 2008 and 2009 expired members.  Developed a successful retention tracking plan for our recent graduate members.  Developed a successful promotional process plan for first year new members.  Develop monthly membership messages and quarterly membership marketing ads for GVMA’s publications.  Leading GVMA’s membership committee in escalated issues, policies and procedures and new programs addressing our members.  Trained associates on membership sales processes and procedures, increasing membership within the first year.  Interpreted membership recruitment and retention statistics and reviewed member research in order to make recommendations.
