Office Coordinator

Hello! My name is Randy Rotta, a California native raised on motocross, skateboarding, and jiu-jitsu. I have a strong background in administrative support, sales, coordination, finance, and customer service. Currently, I am an Office Coordinator for NBCUniversal, working specifically with the Creative department. I am also working towards earning my bachelor's degree. I look forward to working for a company that shares my passion for progression, self-expression, and creativity.

Provides primary assistance with the administrative functions of the Universal Creative team including, but not limited to, new employee on boarding duties, telephone and network floor plan maintenance, building access card and equipment inventory, divisional cell phone order placement and product assistance.
Procures necessary approved products and services based on established forms and systems. Processes and administers invoices and payments according to contractual obligations and ensures timely and accurate processing.
Reviews proposals and contracts for accuracy, submits to appropriate directors for review and approval. Follows through on the execution of quotes and contracts with select vendors, finance team, and department.
Coordinates and schedules new office layouts, team moves and various work to be performed by internal and external vendors. Communicates expectations, monitors and follows up on all work to ensure proper completion and satisfaction for Universal.


Organize all procurement activities relating to requests for proposals, sealed bids, and price quotes. 
Review requisitions for completeness and accuracy; follow up on discrepancies with the initiating department; identify available suppliers for each requisitioned item.
Organize and maintain computerized records containing vendor and bid information.
Process requisitions into purchase orders and any resulting change orders. 
Convert current invoice and inventory software from Microsoft Excel and Access to Timberline Sage 300 construction software
Investigate any invoicing issues including pricing discrepancies, shipment shortages, and missed deliveries
Perform general clerical duties such as maintaining general files, typing, data entry, opening mail, and completing and processing standard purchasing forms.
