Provide routine and complex clerical and technical work and confidential support to executive management in the City Manager’s Office, Office of Communications, Leadership Team and act as back up to the Executive Administrator to the City Manager. Manage Executive Staff calendars; arrange appointments, meetings, and assist department staff with time management issues. Manage and arrange travel plans for all department staff. Help coordinate departmental workshops and events. Act as a resource to the public, City departments and other agencies on departmental programs and policies. Process and review division accounting and accounts payable, invoices and contract payments. Prepare analytical reports on revenues and expenditures; compile budget requests, recommend expenditure requests for designated accounts. Assigned as the City Manager’s Office quality control for review of staff reports submitted to the Council meeting agenda. Assist staff with preparing items for future Council meetings. Maintain and update accurate information on department’s website. Compose a variety of written materials, including letters, notices, forms, contracts, and agendas. Prepare written materials for publishing and storage in a variety of electronic formats. Assist in training temporary and as-needed staff in applicable office procedures. Conduct research pertaining to future City projects and policies.

Administrative Staff Assistant

Assist in the administration of business operations. Ensure business adheres to federal, state, county, and city protocols, laws, codes, and ordinances. Prepare, process, and maintain business records, forms, and documents. Process and log all business financial; daily sales, expenditures, invoices and personnel/payroll related administrative duties. Generate marketing materials, business forms, spreadsheets and documents. Place and track business supplies, equipment, and print orders. Accountable for inventory control, inventory labeling and organization. Provide exemplary service to ensure public and customer satisfaction. Help customers by providing information, answering questions, and payment transactions.

Assistant Manager

Provide administrative and clerical support to staff in the Code Enforcement division. Respond to inquiries and provide information to the general public, the business community, City departments and staff, and outside agencies regarding code enforcement and/or department programs, codes, ordinances, policies and practices. Assist customers with filing a complaint for possible code violations, citations, business transactions, the completion of required forms, and payments. Make referrals to appropriate sources. Document concerns and enter related information into the City’s database system. Provide support in processing Complaint Referrals, Compliance Orders, Administrative Citations, and a variety of written materials, including letters, notices, forms, reports contracts, reports, and agendas. Provide support to the Officers by conducting research of City records, complaint history, plan checks, public works or building permits, and other permits that may be required for compliance. Adhere to City and division/department records management practices and procedures to properly file and maintain records, forms, documents and correspondence.
Review, sort and distribute division and/or department mail. Prepare and distribute bulk mailings.

Staff Assistant II

Mentored and guided students through different digital media applications during an eight week digital lab and intern program. Collaborated with the Program Business Consultant to implement a course calendar. Responsible for scheduling and assigning projects to students/ interns and maintaining student portfolios. In addition, developed and established student evaluations, and course assessments.

Student Tutor One

Oversaw the management and workflow of a hardline department. Responsible for the direct supervision of five staff members, along with providing leadership to over fifty sales associates. Delegated tasks and directed workflow along with accounting for proper and adequate staff training. Effectively communicated daily goals and monitored productivity standards to guarantee company guidelines. Introduced staff to sales promotions, merchandising strategies, and new products. Improved customer satisfaction and staff retention. Excelled knowledge of company intranet mainframe system accounting for product inventory, description and availability. Ensured floor and POS transactions were processed accurately and efficiently.
