Accounts Payable Analyst

Overview:
Performed as Individual contributor in Optum and currently working as Accounts payable Specialist in Legato. Occupied directly with Business stakeholder on transition-based Account payable process. Well versed in below core job responsibilities.
Core Responsibilities:

Accounts payable:
Daily Activities: Auditing and approving Invoices Invoice (PO and NON-PO) & Exception handling, Resolving AP HelpDesk Queries, Creating New Vendor/inactive vendor request, Statement Reconciliations, Daily Production reports.
Weekly Activities: Supplier spend updating and Metrics for Invoice processing & Exception, Funding prepaid  Reserve A/c and GL allocation after receiving the expense report.
Monthly Activities: Month end AP accruals, Monthly Metrics Dashboard Invoice processing & Exception, Ad-hoc reporting Activities, EDI invoice Supplier Spend. Comparison of Optum global Spend vs Optum fulfillment spend, Preparing & updating SOP's and reviewing with Business stakeholder and getting signoff.
Accounts Receivable:
Cash application, downloading remittance from bank portals, Retrieving the Statements, reconciled misapplied payments and actively working with collection team for closing aged bad debts.
Summary of Accounts Payable activities in Optum:
• Lead for invoice processing in Concur, Ariba and PeopleSoft (Bulk/batch uploads).
• Obtain Invoice approval for high $ invoices prior to payment.
• Handling day to day AP Helpdesk queries from vendor/buyer&planner/Business.
• Liaise with Business partners & vendors to resolve various AP Queries.
• Created an Updating GL mapping sheeting with revised GL codes/chart of accounts which we use for processing invoices and train the team members with new updates.
• Reconcile vendor statements, research and correcting discrepancies.
• Follow-ups and clearing on-hold invoices and exceptions within agreed SLA.
• Responsible for weekly/monthly Dashboard reporting and discuss the same with Business Partners.
• Creating Sourcing & Procurement for inactive and new vendor request in PeopleSoft.
• Keeping track of every AP transaction and act accordingly.
• Responsible for updating Supplier invoicing spends on weekly basis and showing spends division of each project to Business partner as per onshore leadership request. This is use for Supplier Spend analysis by Buyer/planners.
• Perform AP month end closing activities viz; closing PO's for EDI Invoices.
• Preparing of month end Accruals for pending NON PO invoices (Estimated accrual entries) & open PO invoices and providing the accrual each month Accrual list to accounting team for posting entries. Once the invoices is received we will ensure to update the accounting Team.
• Charge back process for OPTUM Postage Account. GL allocation of Centralized Account Processing System of United states postal Services of Pitney Bowes.
• Allocating the GL information for all prepaid Postage charges and providing the GL & amount division to accounting team for reclassifying the Default GL while we selected for refund.
• Responsible for identifying incorrect JEs and requesting accounting team to pass the re-class entries with correct GL.
• Handle's Reconciliation of P-card purchased & payments and update those charges Spend.
• Generate and distribute monthly Ad-hoc vendor spend reports to Buyer/planner (order owner)
• Creating and updating process SOP's on time to time basis and reviewing with Business and getting signoff.  These SOP's are serves as an operational guide to the onshore and offshore team members.
• Act as SME to the AP process and trained new hires.
Summary of Accounts Receivable activities in Optum:
• Hands on experience in handling different types of Cash application processes.
• Downloading remittances from bank portal.
• Retrieve the Statements of EFTs, Lock Box, ACH and Credit Card from different bank entities.
• Drafting mails to payers for missing remittances.
• Chasing for unapplied payments.
• Preparing Aging reports and publishing to Management for further collection process.
• Reconciled misapplied payments and to ensure proper allocation.

Summary of Accounts Payable activities in Legato:
• Approving Invoices from Procurement ensuring valid contract is in place and adhering to all Procurement policies. Checking accounting details when required.
• Preparing Compliance violation transaction Metrics as per On-Shore requirement.
•  Responsible for clearing on-hold invoices in Ariba exception Queue.

• Lean Certified by streamlining the Postage process a Charge back for OPTUM Postage Account. (Business saving - QNI $3525.12)
• Supported few AP processes (Within Optum) in initial Transition and found $40,000.00USD Duplicate invoices in Invoice Duplicate Audit.
• Played a key role in the Business saving 90% annually in early payment discounts by streamlining the payable process.
• Trained new hire in the team and reviewing their activities for few initial days.
